Circulation Customers
Circulation Customers maintains subscription recipients and the required Customer Account used for Customer Receipt ledger posting.
What Circulation Customers is for
Circulation Customers maintains subscription recipients/end customers that are different from Circulation Agents.
Customers are used by Subscriptions, Customer Receipts and Circulation Customer Accounts.
Find and open a Customer
Open Circulation -> Customers.
Search, sort and page by Customer Name, Edition Center and contact/address information, then click a row.
Financial Account Balance is intentionally handled by Accounts rather than the Customer list.
Create a Customer
Choose Create and maintain Customer Name, Edition Center, contact/address details, Active status and Customer Account Name.
Customer Account Name is required because the Customer Account is automatically created with the Customer.
Edition Center
Edition Center is required and only accessible Edition Centers can be selected.
Use Open to inspect the selected Edition Center.
A Customer with operational history is protected from being moved between Edition Centers.
Contact and address details
Contact Person, Contact Email, Contact Phone, Address Line 1, Address Line 2, City, State, Postal Code and Country are optional.
When Contact Email is entered it must be a valid email address.
Active status
Keep Active selected for a current Customer.
Clear Active when the Customer should no longer be used for new business but historical records must remain.
Customer Account Name
Customer Account Name is required on Create and initially follows Customer Name until deliberately changed.
The system creates an Account with Account Type Customer, Module CIC, zero starting balance and zero deposit.
Customer and Customer Account are created in one transaction so a failed Account create does not leave an incomplete Customer.
Save, Close and Actions
Save validates the Customer and opens confirmation. Cancel closes confirmation without saving; Confirm creates Customer+Account or updates the Customer.
Close returns to the Customers list without running Save.
The current Customer Details screen has no three-dot Actions menu.
Change Edition Center
An unused Customer can be corrected to another accessible Edition Center.
The move is blocked when Subscriptions, Customer Receipts, ledger entries, Account Transactions, Account Opening Balance or non-zero Account values exist.
Delete a Customer
From the list, select Customer(s), choose Delete and review Confirm Delete.
Cancel closes the dialog without changing data.
Confirm checks Customer and Account usage. Operational history blocks Delete and the Customer should be made Inactive.
A fully unused Customer with one unused zero-value Customer Account can be removed together with that Account.
Subscription and Receipt effect
Subscriptions reference the Circulation Customer and must preserve that Customer once history exists.
Customer Receipts carry the Customer ID as their party reference, and ledger posting resolves the matching Customer Account.
