Account Opening Balance

Account Opening Balance creates the starting financial position for a Circulation Agent Account and posts the Opening Balance, Account Transaction and Ledger atomically.

What Account Opening Balance is for

Use Account Opening Balance to establish the starting financial position for a Circulation Agent Account in an Open Accounting Period.

Debit represents previous dues from the Agent. Credit represents a starting credit balance.

Before posting

  • Confirm the Agent and Agent Account.
  • Confirm the Accounting Period is Open.
  • Confirm no Account Transaction or Ledger activity already exists for this Account in the Period.
  • Confirm the approved Debit or Credit amount.

Agent and Agent Account

Select the Agent first. Changing Agent clears any previously selected Account.

Then select the Agent Account. The lookup is restricted to Agent Accounts belonging to the selected Agent.

Agent and Account lookups provide Open so you can inspect the source records.

Customer Accounts are not available in this reviewed Opening Balance function.

Open Accounting Period

Select an Open Circulation Accounting Period.

Closed periods are filtered from the normal lookup and are independently rejected by the server.

Use Open to inspect the Accounting Period. Quick Create is intentionally not available from this financial posting screen.

Transaction Date

Selecting a Period defaults Transaction Date to the Period Start Date.

You may choose another date only between Period Start and Period End, inclusive.

Debit Opening Balance

Use Debit when the Agent owes previous dues.

Enter a positive amount. AkshaERP posts it as a negative signed opening balance under the current Circulation ledger convention.

Debit Opening Balance can appear as Opening Balance / Previous Dues during Agent Receipt processing.

Credit Opening Balance

Use Credit when the Agent starts with a credit balance.

Enter a positive amount. The signed ledger opening balance is positive.

A Credit Opening Balance is not previous dues receivable.

Amount rules

  • Enter exactly one of Debit or Credit.
  • Amount must be greater than zero.
  • Maximum 2 decimal places.
  • Maximum 99,999,999.99.
  • Entering one side clears the other.

Post Opening Balance

Choose Post Opening Balance and review the confirmation.

The confirmation identifies Debit/Credit, amount, Account and Period and warns that financial history will be created.

Cancel closes the confirmation with no posting.

Confirm performs all financial-integrity checks and posts only when they pass.

Why AkshaERP blocks a late Opening Balance

Opening Balance is the starting point used by the running-balance calculation.

If normal financial history already exists in the Account and Period, inserting an Opening Balance would change the meaning of that running balance.

The reviewed server therefore refuses Opening Balance after any Account Transaction or Ledger entry for the Account and Period.

Atomic financial posting

A successful post creates the Opening Balance, Account Transaction and Ledger entry in one database transaction.

The Ledger process recalculates the Account running balance and updates the Account balance.

If Ledger posting fails, the Opening Balance transaction rolls back rather than leaving partial history.

After posting

AkshaERP opens the selected Account Ledger.

Verify the Opening Balance direction, amount, Period, Transaction Date and resulting balance.

Close and correction controls

Close leaves the posting screen without creating a balance.

The current screen has no Edit, Delete, Reverse or three-dot Actions menu.

Do not manually delete Opening Balance, Account Transaction or Ledger rows to correct a financial mistake.

Can I enter decimal values?

Yes. Opening Balance supports up to two decimal places.

Can I enter both Debit and Credit?

No. Enter exactly one side.

Can I post to a Closed Accounting Period?

No. The Period must be Open.

Why did Account clear when I changed Agent?

The Account must belong to the selected Agent, so AkshaERP requires it to be selected again.

Why does AkshaERP say financial history already exists?

Opening Balance must be the first financial entry for that Account and Period.

Can I enter a Customer Opening Balance here?

No. This reviewed function supports Circulation Agent Accounts.

Can I edit or delete a posted Opening Balance?

Not from this screen. Financial corrections require a controlled correction/reversal process.

Where is the three-dot Actions menu?

The current Account Opening Balance screen does not have one.
