Roles

Roles define reusable access responsibilities that can be assigned to AkshaERP users.

What Roles are for

Use Roles to define reusable business access responsibilities that can be assigned to multiple users.

The current Roles screen manages Role identity, Menus, Dashboards, lifecycle, assigned-user visibility and security history.

Find a Role

Open Access and choose Roles. Search or sort the list, then click a row or choose Open.

Roles list

ColumnMeaning
Role CodeStable code used to identify the Role.
Role NameReadable business responsibility.
StatusActive or Inactive.
UsersNumber of users assigned to the Role.
DescriptionPurpose of the Role.

Create a Role

Choose Create, enter a stable Role Code and Role Name, then add the Menus and Dashboards required for the responsibility.

  • Role Code is required and converted to uppercase.
  • Role Code can contain letters, numbers, dash and underscore.
  • Role Code cannot be changed after creation.
  • Role Name is required.
  • Description is optional.

Dashboards

Use the Dashboards tab to choose Dashboards for the Role. Each mapping can be Active or Inactive.

Duplicate Dashboard assignments are prevented.

Assigned Users

For an existing Role, Assigned Users shows the people currently carrying the Role so administrators can understand the impact of security changes.

User-to-Role assignment itself is maintained from Users.

History

History shows recorded Role security events such as creation, updates, access changes, activation and deactivation.

Activate and deactivate

Deactivate a Role that should no longer grant active access. Activate it again when the responsibility returns to service.

Permanent Delete

Permanent Delete is only for an unused setup mistake. Established Roles should normally be deactivated.

AkshaERP blocks deletion when the Role is ADMIN, is assigned to users, or still has protected security references.

Frequently asked questions

Does the Roles page directly maintain Permissions?

No. The current Roles page manages Menus and Dashboards. Permission setup is maintained separately.

What happens to logged-in users when Role access changes?

Affected users may be signed out so their next login receives current access instead of continuing with stale authorization.

Can I change a Role Code later?

No. Role Code is intentionally immutable after creation.

Should I delete an old Role?

Normally deactivate it. Permanent Delete is restricted to an unused setup mistake.
