Organizations
Organizations defines the legal and operating entities AkshaERP uses for multi-organization business operations.
What Organizations is for
Organizations defines the legal and operating entities that AkshaERP uses for multi-organization business operations.
Use it to maintain Organization identity, hierarchy, legal registration, contact information and selected accounting or ownership controls.
Find and open an Organization
Open Access Management and choose Organizations. Use search, sorting and paging to find the required entity.
Click the row or choose Open from the row action menu.
Organizations list

Create an Organization
Choose Create and enter Organization Name, Organization Code and Organization Type.
A new Organization starts as Active.
Organization Type
Choose the classification that matches the legal or operating entity. Configured choices can include Company, Society, Trust, Partnership, LLP, Proprietorship, Non-Profit, Government Organization, Educational Institution and Other.
Older migrated Organizations may show Unclassified when their historical Type was never recorded.
Organization hierarchy
Use Parent Organization when one entity genuinely belongs under another.
AkshaERP prevents self-parent relationships, missing parents, circular hierarchy and an active Organization being placed under an inactive parent.
Legal and contact information
Use Legal & Contact to maintain approved business-registration and communication details.

Accounting and ownership controls
Accounting & Ownership contains Organization-level controls used by AkshaERP financial, valuation and ownership setup.

Default Commercial Organization
Some implementations use another active Organization as the commercial entity for the current Organization.
The selected Default Commercial Organization must exist, be Active and be different from the current Organization.
Usage
For an existing Organization, open Usage before restructuring or retiring the entity.

Activate and deactivate
Deactivate an Organization when it should no longer be available for new business setup or use.
Activate returns a valid inactive Organization to service.
- Deactivation is blocked while User assignments remain.
- Deactivation is blocked while active Branches remain.
- Deactivation is blocked while active child Organizations remain.
- Deactivation is blocked while active Organizations use it as Default Commercial Organization.
Active lookups and historical records
Inactive Organizations stop appearing in active Organization searches used for new setup.
Existing records that already reference an inactive Organization can still display the stored Organization identity.
History
History shows Organization master activity such as Create, Update, Activate and Deactivate, including when the action happened, who performed it and a summary.
Save, Apply and Close
Organization page actions

Recommended setup sequence
- Search to confirm the Organization does not already exist.
- Confirm the approved Organization Code.
- Choose the correct Organization Type.
- Enter display and legal identity.
- Set Parent Organization only when hierarchy is required.
- Enter legal registration and contact details.
- Review Accounting & Ownership controls.
- Save or Apply.
- Configure Branches and User access.
- Review Usage before any later lifecycle change.
Common mistakes
- Creating a near-duplicate Organization instead of reusing the existing entity.
- Guessing an Unclassified legacy Organization Type.
- Expecting Organization Code to be editable after creation.
- Trying to deactivate before active dependencies are resolved.
- Changing custody, valuation or reporting controls without confirming the business design.

Frequently asked questions
Can one AkshaERP installation contain more than one Organization?
Yes. AkshaERP supports multiple Organizations, and users can be assigned to the Organizations they are permitted to work with.
Can I change the Organization Code?
No. Organization Code is a stable identifier and is fixed after creation.
Why does an Organization show Unclassified?
Some older migrated records may not have had an Organization Type recorded. Confirm the correct classification before assigning it.
Why can’t I deactivate an Organization?
It is still in active use. Check Usage for User assignments, active Branches, active child Organizations or active commercial references.
Can I permanently delete an Organization?
Normal permanent deletion is not provided. Resolve active dependencies and deactivate the Organization instead.
Will an inactive Organization disappear from historical records?
No. Existing records can continue to resolve the Organization they already reference. Inactive Organizations are removed primarily from new active-Organization lookup choices.
What is Default Commercial Organization?
It is an optional relationship for implementations where another active Organization acts as the commercial entity for the current Organization.
