What Cost Centers is for

Cost Centers defines operational or financial responsibility areas used for internal analysis, accounting dimensions and management reporting in AkshaERP.

A Cost Center belongs to one Organization and can optionally use a Branch, Parent Cost Center, Site/Building/Floor, Manager and Currency.

• Maintain stable Cost Center identity inside an Organization.
• Build Parent/Child responsibility hierarchy.
• Classify Cost Centers through configured Cost Center Types.
• Associate responsibility with a Branch or physical Site hierarchy.
• Assign a Manager and Currency when required.
• Use Cost Centers in Financial Dimensions and accounting.
• Review Usage before lifecycle changes.
• Preserve historical accounting references through deactivation.
• Review Cost Center change History.

Find and open a Cost Center

Open Access Management and choose Cost Centers. Authorized finance/setup administrators can also reach the same master from the General Ledger Cost Center menu.

Use search, sorting and paging to locate the required responsibility unit.

Create a Cost Center

Choose Create and enter Organization, Cost Center Code and Cost Center Name. New Cost Centers start Active.

Branch, Parent, Type, Manager, Currency, location, dates and Description are optional unless your implementation requires them operationally.

Cost Center Type

Cost Center Type is selected from configured COST_CENTER_TYPE values instead of a hard-coded application list.

Standard seeded examples include Operational, Service, Administration, Project and Other. Implementations can maintain approved additional values through Value Set administration.

Organization and Branch

Organization owns the Cost Center. Branch is optional.

When Branch is selected it must belong to the same Organization. For active use, Organization and selected Branch must be Active.

Parent Cost Center and hierarchy

Use Parent Cost Center to build reporting or responsibility hierarchy.

• Parent must belong to the same Organization.
• An Active child requires an Active Parent.
• A Cost Center cannot be its own Parent.
• Circular hierarchy is prevented.

Manager and Currency

Manager is optional and uses an Employee record. For an Active Cost Center the selected Manager must be a current Employee.

Where the Employee Organization can be resolved from Branch setup, it must match the Cost Center Organization. Currency is optional and must resolve to a configured Currency.

Location

Use Location when financial or operational responsibility should be tied to a physical business location.

The location hierarchy is Organization, Site, Building and Floor.

• Site must belong to the Cost Center Organization.
• When both Cost Center Branch and Site Branch are present, they must match.
• Building must belong to the selected Site.
• Floor must belong to the selected Building.
• An Active Cost Center cannot use an inactive Site.

Effectivity dates

Start Date and End Date are optional. End Date cannot be earlier than Start Date.

Dates describe effectivity; Active or Inactive remains the explicit lifecycle state.

Usage

Use Usage before deactivating or restructuring a Cost Center. It separates current lifecycle blockers from historical reference information.

Financial Dimension defaults

AkshaERP blocks Cost Center deactivation while it remains an Organization default Cost Center or the default of a currently active Financial Dimension rule.

Change the active/default Financial Dimension configuration first, then deactivate the Cost Center.

Activate and deactivate

Deactivate a Cost Center when it should stop being available for new active use. Active children and active/default Financial Dimension setup are checked first.

Activate returns a valid inactive Cost Center to service after Organization, Branch, Parent, Type, location, Manager, Currency and dates are revalidated.

Inactive Cost Centers and historical records

Inactive Cost Centers stop appearing in normal Active lookups used for new documents and setup.

Existing documents and accounting history that already store the Cost Center ID can still resolve the original Cost Center.

History

History records Cost Center master events such as Create, Update, Activate and Deactivate with the available user, time, source and summary.

Save, Apply and Close

Recommended setup sequence

• Confirm the Organization.
• Search for an existing Cost Center.
• Choose the final Cost Center Code and Name.
• Choose Type and Parent when hierarchy is required.
• Assign Branch, Manager and Currency when applicable.
• Assign Site, Building or Floor only when the location is required.
• Maintain effectivity dates when applicable.
• Save or Apply.
• Configure Financial Dimension defaults/rules.
• Review Usage before later restructuring or deactivation.
