What Departments is for

Departments maintains the Organization-level departmental structure used by Employees and other HR processes in AkshaERP.

A Department can optionally report to another Department and can have a Manager Employee.

  • Maintain Departments within an Organization.
  • Build Parent Department hierarchy.
  • Assign a Manager where required.
  • Review current Employee and setup dependencies.
  • Activate or deactivate Departments without deleting history.
  • Review Department change history.

Create a Department

Choose Create and enter Organization and Department Name. Parent Department, Manager and Description are optional.

A new Department starts as Active.

Department Name

Department Name is required and can be edited later when needed.

AkshaERP checks Department Name case-insensitively within the Organization so names that differ only by capitalization or surrounding spaces are treated as duplicates.

  • Department Name must be unique inside its Organization.
  • The same Department Name can be used in another Organization.
  • The permanent technical identity is the Department record itself, not an artificial Department Code.

Department hierarchy

Use Parent Department when the Department reports through another Department.

  • A Department cannot be its own Parent.
  • Parent must belong to the same Organization.
  • Circular hierarchy is prevented.
  • An Active Department cannot use an Inactive Parent.

Manager

Manager is optional. When a new Manager is selected, AkshaERP validates the Employee and protects Active Departments from using an Employee whose employment has ended.

Where Organization can be identified from the Employee Branch, the Manager must match the Department Organization.

Review Usage

Usage helps administrators understand the effect of retiring or restructuring a Department.

  • Active child Departments

  • Active Attendance Policies
  • Other AkshaERP tables that contain Department references

Activate and deactivate

Deactivate a Department when it should no longer be available for new active assignment.

Activate returns a valid inactive Department to active service after important Organization, Parent and Manager setup is revalidated.

Inactive Departments and historical records

Inactive Departments are removed from normal Active Department searches used for new assignment.

Existing records can continue displaying an inactive Department by its stored identity.

History

History records Department master events such as Create, Update, Activate and Deactivate with the available user, time and summary.

Frequently asked questions

Can I change the Department Name?

Yes. The new name must remain unique inside the Organization.

Can I move a Department to another Organization?

Not through normal Department maintenance. Organization becomes permanent after creation.

Can two Organizations use the same Department Name?

Yes. Department Name uniqueness is enforced within each Organization.

Can a Department have another Department as its Parent?

Yes, provided both belong to the same Organization and the relationship does not create a circular hierarchy.

Why can’t I deactivate a Department?

A current dependency still uses it. Check Usage for active child Departments, current Employees or active Attendance Policies.

Will deactivation change old Employee or HR records?

No. Existing records keep the Department they already reference.

Can I permanently delete a Department?

Normal permanent deletion is not provided. Use Deactivate after resolving current dependencies.

What should I do if old Department setup is incorrect?

Confirm the intended business structure and correct the legacy setup deliberately. AkshaERP does not guess Organization, hierarchy or Manager assignments.
