Expense Dashboard
The Expense Dashboard uses AkshaERP's shared dashboard framework to combine expense KPIs, trends and operational attention across employee claims, Direct Expenses, Cash Advances and Petty Cash.
What this dashboard is for
Open Expense Management to see the default Expense Dashboard, or open Expense Management -> Dashboard.
Use it for management visibility and operational follow-up. It does not replace the source transaction: click the available document links to review or correct the real record.
Expense Snapshot
Snapshot KPIs
| KPI | Meaning |

| Employee Expense Spend | Employee-claim spend in the selected dashboard context/date range, excluding rejected/cancelled activity. |
| Submitted Claims | Claims currently submitted to the configured approval boundary. |
| Policy Exceptions | Claims with warning/violation/exception/justification conditions requiring attention. |
| Direct Expense Spend | Direct Expense spend in the selected context/date range. |
| Outstanding Advances | Remaining issued Cash Advance amount that is not fully settled. |
| Petty Cash Available | Available balance across active Petty Cash Funds in scope. |
Charts
- Employee Expense Spend by Category — compares claim spend by Expense Category.
- Employee Expense Spend Trend — shows the selected-period trend by month.
- Payment Responsibility Mix — shows how employee claims are distributed by payment responsibility.
Operational Attention
Operational Attention is the workbench-style table for records that may need action. It can include Draft/Returned/Submitted claims, Direct Expenses waiting for the next step, Cash Advances with outstanding settlement and Petty Cash Funds at or below the configured minimum.
The Document value is clickable and opens the underlying transaction so the correction happens at the source.
Outstanding Cash Advances
This table highlights issued or partially settled advances with remaining outstanding amounts. Review Employee, Request Date, Issued, Settled, Outstanding, Claim Reserved and Available amounts before contacting the employee or posting settlements.
Petty Cash Fund Health
Petty Cash Fund Health shows Cashbook, Reserved, Available, Minimum and Imprest context. Funds below the configured minimum are surfaced for replenishment/review.
How to use the date filter
Use the standard dashboard date presets/range to change the reporting period. Expense date drives claim/direct-expense period filtering, while live outstanding-advance and petty-cash balance views remain operational balance indicators.
Troubleshooting
- No data: confirm the current Organization/Branch context and selected date range.
- Unexpected low Petty Cash: open the Fund and review recorded movements plus Direct Expense reservations.
- A document is not clickable: confirm it is one of the supported source rows and that your role has access to the function.
- Dashboard differs from a report: first compare organization, branch and date filters; then verify the source transaction status.

Can I post or reverse from the dashboard?
The dashboard is for visibility and navigation. Open the source transaction to use Confirm, Post Accounts or Reverse Accounts.
Why does Petty Cash Available differ from Cashbook?
Available considers amounts reserved by eligible Direct Expenses, so it can be lower than the recorded cashbook balance.
