What CRM Account is for

CRM Account represents the organization or customer relationship that sales users work with. AkshaERP deliberately connects the CRM Account to the shared Business Partner model so customer identity, contacts and addresses do not become isolated copies.

When creating an Account, you can link an existing ERP customer/Business Partner or enter a new Account Name and let the CRM Account creation flow create the customer Business Partner foundation.

Account tab – maintain the customer relationship and shared Partner context

The Account tab is the primary maintenance surface for the CRM Account. It combines CRM relationship fields with Billing and Shipping address maintenance that is persisted into the connected Business Partner/customer context.

A new Account can either link an existing ERP Customer/Business Partner or create a new customer relationship from Account Name. Once the CRM Account is created, the existing-customer selector is disabled in the active edit screen so the relationship is not casually moved to another customer.

Contacts tab – manage people belonging to this Account

The Contacts tab becomes operational only after the Account has been saved. It is a full management grid for CRM Contacts belonging to the Account, not just a read-only list.

The tab uses server-side pagination with an initial page size of 10 and initially sorts Contact Name ascending. Clicking a row opens the full Contact screen and provides a return path back to the Account Contacts tab.

Account Status and Active are different controls

Account Status describes the CRM relationship. Active controls whether the CRM Account itself remains enabled for normal use.

In the reviewed save behavior, selecting Account Status Inactive also causes the Active flag to be stored as inactive. The separate Activate/Deactivate action provides an explicit lifecycle switch on saved Accounts.

Business Partner and address behavior

  • Creating an Account without an existing Partner can create a Customer Business Partner from Account Name.
  • Linking an existing ERP Customer reuses that Business Partner identity.
  • Editing Account Name can update the Business Partner name through the CRM Account service.
  • Billing and Shipping addresses are persisted in Business Partner address records using BILL_TO and SHIP_TO context.
  • The CRM Account stores CRM-specific profile fields such as owner, status, rating, industry, revenue, relationship dates and description.
  • Either an existing Business Partner/customer link or a non-blank Account Name is required for creation.
  • The existing ERP Customer link is intentionally fixed/disabled after the Account has been created in the active screen.
  • Account deletion is blocked when linked Leads or Opportunities exist.
  • Contacts should be maintained under the correct Account rather than using an Account rename to represent a different customer.

Downstream impact

  • Contacts inherit their customer/Partner relationship through the Account.
  • Opportunity requires a CRM Account in the active save flow.
  • Opportunity Sales Quote creation relies on the Account resolving to the customer Business Partner.
  • Billing and Shipping address changes affect shared Business Partner customer context.
