Value Sets
Value Sets is the governed AkshaERP catalogue for reusable choices. Administrators can maintain readable labels, optional Module ownership and safe lifecycle without deleting historical identities.
What Value Sets is for
Value Sets maintains reusable controlled choices used by AkshaERP dropdowns, validation and shared configuration.
Each catalogue has a stable Value Set Code. Each choice inside it has a stable Value Code and a readable Value label.
Find and open a Value Set
Open Application Management and choose Value Sets. Search or filter by Code, Name, Module or Status, then click a row to open it.
The list also shows Custom/System classification, total Values, Active Values and lifecycle Status.

| Activate / Deactivate | Changes the lifecycle after confirmation. Existing records that already store the codes are not rewritten. |
Create a Value Set
Choose Create. Enter Value Set Code and Set Name, then optionally select an Application Module and enter a Description.
Normal screen-created Value Sets are classified as Custom.

Save, Apply and Close
Save stores the changes and returns to the list. Apply stores the changes and keeps the record open. Close leaves without invoking Save.
When creating a Value Set, Apply moves onto the newly created record so Values, Usage and History can be used.
Values
Open the Values tab to maintain the choices inside a Value Set. Each row has a stable Value Code, a readable Value label, optional Description and Status.
Choose Create Value to add a choice. Create Value is disabled while the parent Value Set is Inactive.

On the Values tab, open the three-dot menu for a row.

Edit a Value
The Value editor allows the readable Value label and Description to be updated. Value Code and parent Value Set remain fixed.
Save stores and returns to the parent. Apply stores and remains in the Value editor. Close leaves without invoking Save.
Active and Inactive lifecycle
Deactivate a Value to remove that choice from new active selection while retaining its historical identity.
Deactivate a Value Set to retire the complete catalogue from normal active lookups. Reactivating the parent restores only Values that are individually Active.
Historical values in dropdowns
Where AkshaERP uses the shared Dynamic Dropdown, an older record can continue to display a stored retired code as an Inactive / legacy disabled option.
This preserves historical readability without making the retired choice available for new selection.
Usage
Usage shows total, Active and Inactive Value counts together with known database reference footprints.
Use it for impact analysis before changing shared configuration.
History
History shows available Create, Update, Activate and Deactivate audit events for the Value Set and its Values.
Good practice
- Search for the intended existing catalogue before creating another one.
- Treat Value Set Code and Value Code as durable identity.
- Change readable labels when only wording changes.
- Review Usage before retiring shared configuration.
- Test a dependent business screen after a platform configuration change.
- Use Deactivate rather than direct data removal.
